Terms of Service

Roomvia is operated by UKVPM Ltd (Company No. 15373066), registered in England and Wales. Registered office: 124 City Road, London, United Kingdom, EC1V 2NX. Roomvia is an online marketplace that helps people discover and advertise professional spaces — including Healthcare & Medical, Beauty & Wellness, Office & Business, Education & Training, Creative, and Event Spaces — available to hire or rent by the hour, day, session or month.

You must be at least 18 years old and able to form a binding contract to use Roomvia. When you register an account, the information you give us must be accurate and kept up to date. You are responsible for everything that happens under your account, including keeping your password secure and telling us promptly if you believe your account has been accessed without your permission.

If you create an account on behalf of an organisation, you confirm that you are authorised to do so and that the organisation accepts these terms.

Roomvia is a marketplace, not a landlord, tenant, letting agent or property manager. We provide the platform that lets hosts list space and lets searchers find and enquire about it. We are not a party to any agreement a host and a searcher reach between themselves, and we do not vet, guarantee or warrant the existence, accuracy, availability, legality or suitability of any listing.

As a host, you are responsible for:

• the accuracy of everything you publish about your space, including its description, photographs, pricing, availability and facilities;
• having the right and any necessary permission — from a landlord, freeholder, employer or other party — to advertise and let the space;
• complying with the law and any regulatory, planning, licensing or insurance requirements that apply to your space and your business;
• holding appropriate insurance and any licences or consents your use of the space requires;
• the space being suitable and safe for the use you describe; and
• agreeing terms directly with anyone who books or hires your space, and honouring those terms.

Roomvia does not check that a host holds the permissions, licences or insurance described above. Publishing a listing does not mean Roomvia has verified it.

If you are searching for or enquiring about space, you are responsible for satisfying yourself that a listing is genuine, appropriate and suitable before entering into any agreement or arrangement with a host, including by asking questions, viewing the space in person where practical and reading any terms the host proposes. You should exercise the same care you would use when dealing with any third party you have not met before.

Listings are reviewed against our content rules before they appear in search results. That review is a check against our rules, not a guarantee of accuracy, legality or suitability. We may refuse to publish, suspend or remove a listing at any time, with or without notice, if we reasonably believe it breaches these terms, the law, or is otherwise inappropriate for the marketplace.

Roomvia lets searchers send enquiries to hosts and, where a host enables it, request a viewing. We are not a party to that conversation and do not manage, moderate or store it beyond what our Privacy Policy describes. You must not use enquiries to send content that is unlawful, abusive, fraudulent or otherwise breaches these terms.

Roomvia charges hosts for the following paid services, where a host chooses to buy them:

• Professional Listing subscription — a recurring charge, per active listing, for the ability to publish and keep a professional listing live in search results.
• Market Watch subscription — a recurring charge for market visibility and demand information about a category and area.
• Boost — a one-off charge for extra visibility for a selected listing over a fixed period. Boost does not override normal marketplace eligibility and does not guarantee a position in search results.

Prices, and which of these services are on sale, are shown on our pricing page and may change from time to time. All payments to Roomvia are processed by our payment provider, Stripe; we do not store your full card details.

Roomvia does not collect rent, session fees, deposits or any other payment made between a host and a searcher, does not hold client money, and is not a party to the agreement they reach. Any such payment is arranged and made directly between the host and the searcher, on whatever terms they agree, outside Roomvia.

Professional Listing and Market Watch subscriptions renew automatically for successive periods until cancelled. You can cancel a subscription at any time from your account; cancellation takes effect at the end of the period you have already paid for, and we do not refund the unused portion of a period except where the law requires it or we say otherwise at the time of purchase. If a subscription lapses, the listing or service it covers may stop appearing in search results.

Boost and any other promotional placement we offer increase a listing’s visibility for a limited period; they do not change the listing’s content, do not guarantee any level of interest, enquiries or outcome, and remain subject to the same content rules and moderation as every other listing. We may pause, limit or withdraw promotional placements at any time.

You must not use Roomvia to:

• publish a listing you are not entitled to advertise, or that is false, misleading or fraudulent;
• publish unlawful, defamatory, discriminatory, obscene or infringing content;
• circumvent, disable or interfere with moderation, security or access controls;
• scrape, harvest or systematically extract data from the site without our permission;
• impersonate another person or organisation, or misrepresent your affiliation with one; or
• use the site in a way that breaches applicable law.

The Roomvia name, logo, design and software are owned by UKVPM Ltd or our licensors and are protected by intellectual property law. Except for the licence you need to use the site as intended, these terms do not grant you any right in our intellectual property.

When you upload content to Roomvia — photographs, listing descriptions or other material — you keep ownership of it. You grant Roomvia a non-exclusive, worldwide, royalty-free licence to host, store, reproduce and display that content for the purpose of operating and promoting the marketplace, for as long as it remains published or stored on Roomvia. You confirm that you have the right to upload the content and to grant us this licence, and that it does not infringe anyone else’s rights.

Roomvia relies on third-party services to operate, including payment processing (Stripe), hosting and mapping. Where a link, embedded feature or checkout takes you to a third party’s own site or service, your use of it is governed by that party’s own terms, and we are not responsible for it.

We aim to keep Roomvia available, but we do not guarantee uninterrupted or error-free access. We may change, suspend or discontinue any part of the service, including a paid feature, at any time; where reasonably practical, we will give notice of a change that materially affects a service you have paid for.

Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be excluded or limited. Subject to that, Roomvia is not liable for losses arising from an agreement, transaction or dispute between a host and a searcher, or for indirect or consequential loss arising from your use of the site. Nothing here is intended to remove or reduce the statutory rights you have as a consumer.

You agree to indemnify Roomvia against reasonable losses, claims and expenses arising from your breach of these terms, your listing, or content you upload — except to the extent the claim arises from our own breach of these terms or negligence.

You may close your account at any time. We may suspend or terminate your account or a listing, with notice where reasonably practical, if we believe you have breached these terms, the law, or put other users or the marketplace at risk. Terms that by their nature should survive closure of your account — including payment obligations already due, the content licence for material already published, and the limitation of liability — continue to apply.

These terms are governed by the law of England and Wales. Any dispute arising from them or your use of Roomvia is subject to the exclusive jurisdiction of the courts of England and Wales, without prejudice to any right you have as a consumer to bring proceedings in the courts of the country where you live.

We may update these terms from time to time, for example to reflect a change in the service, the law or our practices. Where a change is material, we will take reasonable steps to make it noticeable — such as a notice on the site — before it takes effect. Continuing to use Roomvia after a change takes effect means you accept the updated terms.

This is version 2026-10b of these terms, which took effect in October 2026, when UKVPM Ltd resumed operating Roomvia. Where you have accepted an earlier version (for example when publishing a listing or paying for a service), that acceptance is kept on record for the version you accepted, and we ask you to accept this version the next time you do so. Earlier versions remain available as a record: Terms of Service, October 2026 (version 2026-10) and Terms of Service, September 2026.
